RULES

These Rental Rules and Policies are part of the contract to rent the Lions Youth Camp. If at any time you have any questions during your stay, please consult the Camp’s Manager.

The Lions Youth Camp is a camp sponsored by the Lions Clubs of District C-2 in South/Central Alberta and provides camp facilities for youth-related activities. The Camp is not a commercial undertaking but is sponsored by the Lions Clubs of the area and donations from citizens who see the value of maintaining this facility for the use of Youth. In order that the Camp may be maintained for this very specific purpose, the following rules are to be enforced by the GROUP REPRESENTATIVE as will be specified in the Contract to Rent the Lions Youth Camp.

The Lions Youth Camp is responsible for the provision of basic camp facilities. The GROUP REPRESENTATIVE is responsible for the provision of its own bedding (sleeping bags etc) and toilet articles (towels, face cloths, etc.) and must provide all supervision, the enforcement of the rules, and standards of behavior as required by the lease. The GROUP REPRESENTATIVE is also responsible for the planning and organization of its own activities.

It is required that the GROUP REPRESENTATIVE shall appoint a person to be in charge of the function who will be called the Group Representative. An alternate will also be required. The name of this person will be submitted to the registrar on the Confirmation to Rent form together with that of the alternate.

At the time of check-in at the Lions Youth Camp – – The Group Representative and the Camp Manager will inspect the grounds and buildings and note the condition of all items. – The GROUP REPRESENTATIVE shall give to the Camp Manager a cheque made payable to Lions Youth Camp Society in the amount of $300 as a damage deposit. This cheque will be returned after the inspection at check-out time and if no damage or deficiencies are found.

During the stay  – Use the facilities in a lawful and careful manner, keeping in mind that the Lions Youth Camp was built through the cooperative efforts of the Lions Clubs of the District and is not a commercial venture but is supported by donations and fees for the use of our Youth. – Ensure that all motorized vehicles remain in the parking lot and are not permitted to enter the Camp. – Place all garbage in securely fastened garbage bags and stored inside the blue garbage container by the main gate. All recyclables are to placed in the appropriate containers and recyclables stored in the appropriate bins. – Maintain the buildings and grounds in a clean and orderly fashion. The following are prohibited – Firearms – Fireworks (including rockets) – ATVs, motorcycles, and any other motorized vehicles – Pets – Fires outside of the designated fire pit area

Prior to the time of check out – Ensure that all Camp-owned items are cleaned and returned to their respective places, as they were when the Lease period started. Clean all buildings such that they are ready for occupancy by the next GROUP REPRESENTATIVE. – Inspect the grounds and pick up all bottles, cans, wrappers, etc. – Thoroughly clean the kitchen area and all of the pans etc. that have been used. The GROUP REPRESENTATIVE is responsible for any missing items. – Carry out a complete fire check including, but not limited to ensuring that all fire extinguishers are in place and available for use, that all lights are extinguished, that the cooking stove is turned off, etc. – Ensure that all doors and sliding windows are closed and locked.

At the time of check out – GROUP REPRESENTATIVE is to return the keys to the Camp Manager. – Group Representative shall thoroughly inspect the buildings and grounds with the Camp Manager and note any damage or deficiencies. – In the event that there is damage, the GROUP REPRESENTATIVE will be informed of the extent and given an estimate of costs to fix or replace. The damage deposit will not be returned at this time but will be held until the damage or deficiencies are made good. This will take place within 30 days at which time, the balance of the damage deposit, if appropriate, will be returned. – The balance of the rental for the full period is due and payable by cheque to the Camp Manager.

The GROUP REPRESENTATIVE will be held responsible for the following: – Included in the rental fee is one hour of clean up hauling garbage etc. In the event that this process takes longer than the allotted time, there will be a charge of $50 per hour for the additional work incurred. – The repair of any damage caused by vandals will be charged at cost of materials plus $50 per hour. – If repairs require the services of a tradesman, the costs charged will be the tradesman’s rate plus materials. – Long distance phone calls from the Camp phone (403 637 2059) during the time of occupancy will be charged. This phone is for emergency use only.

Note the Manager or other authorized representative shall have the absolute right to visit the Camp at any time to inspect the facility or to check on the enforcement of rules contained in this Appendix.

TERMS

Here are the terms that the Renter agrees to adhere to while renting the camp.

Please discuss with the Camp Manager the anticipated time of arrival in order that clean up between Renters can be completed. The GROUP REPRESENTATIVE named below agrees:

1. To use the facilities in a lawful and careful manner; to prevent damage to the facilities and to prevent any nuisance from occurring in or around the premises. The GROUP REPRESENTATIVE shall be liable for the cost of repair for damage to the buildings and the cost of repair or replacement of camp property and/or equipment that was damaged, removed, or destroyed by any cause whatsoever while being used or in the care of the GROUP REPRESENTATIVE.

2. To return the premises and equipment rented hereby to the Lions Youth Camp in the condition in which they were received by the GROUP REPRESENTATIVE, and if any expense is incurred by the Lions Youth Camp in clean-up of the premises or equipment in order to return them to the condition in which they were received, then such expenses shall be deducted from the damage deposit before being refunded to the GROUP REPRESENTATIVE.

3. The damage deposit, or such portion of the damage deposit not required for such purpose as mentioned above, shall be returned to the GROUP REPRESENTATIVE following an inspection of the Lions Youth Camp by the Camp Manager and the Group Representative at the end of the rental period. If the damage deposit is not sufficient to cover the cost of damage/theft, then the GROUP REPRESENTATIVE shall forthwith pay any additional amount.

4. That the rental deposit will be returned in full if the cancellation of the rental contract is made prior to sixty (60) days of the rental date. If cancellation takes place less than sixty (60) days of the rental date, the rental deposit is forfeited.

5. That no liquor or unlawful drugs are permitted on the youth camp property. The possession, consumption, or use of liquor or unlawful drugs by any person under the control and supervision of the GROUP REPRESENTATIVE shall result in immediate termination of this contract. The Manager has the authority and responsibility to terminate said contract for any liquor/drug use violation committed on Lions Youth Camp property. Smoking is not permitted in the cabins.

6. The GROUP REPRESENTATIVE shall be responsible for the control and supervision of all persons in their group. Responsible adults (s) shall supervise persons under the age of eighteen (18) at all times. The GROUP REPRESENTATIVE shall indemnify and save harmless: the Lions Youth Camp from and against all claims, damages, debts, dues, suits, actions and causes of action, costs, or sums of money that the Lions Youth Camp may suffer by reason of anything done by the GROUP REPRESENTATIVE while the GROUP REPRESENTATIVE was leasing the facilities of the District C-2 Youth Camp.

7. The GROUP REPRESENTATIVE shall abide by and enforce the Rental Rules and Policies specified while using the facilities of the Youth Camp.

8. The GROUP REPRESENTATIVE shall pay the fees and charges as specified.
